Create a report
Create Report turns your site documentation into a professional report to share with clients, managers or partners.
Available formats
Section titled “Available formats”- PDF: a structured document with the cover page (company logo, project name), annotated plans, photos and comments. Brand colors are preserved, a running header and a “PhotoReport” footer appear from page 2 onwards, and the typography is tuned for print legibility. Ready to send by email or print.
- HTML: a web page viewable in any browser. It reads from top to bottom like a document, with each plan’s title at the start of its section, comments shown in the page and audio comments playing inline with their duration. Photos are shown in high resolution, and the page can be printed from the browser. On a phone, the plan list moves into a menu (below 768 px wide).
- ZIP: an archive containing the reports, all photos, plans and audio files (
.m4a). The most complete format.
In every format, plans render as crisp, zoomable vector graphics, with a color legend and each viewpoint’s color shown.
Create a report
Section titled “Create a report”- Open your project.
- Tap the Create Report button.
- At the top, a summary shows what the report covers, for example “Plans: 3 · Observations: 37 · Photos: 210”. Tap Preview to see the report before generating it. The preview doesn’t use up an export.
- Optionally open Report content to choose what the archive includes, and Filters to narrow the content (see below).
- Tap Save the report. The report is generated, then iOS asks where to save the ZIP in the Files app. From there you can send it by email, AirDrop, etc.
Choose what the archive includes
Section titled “Choose what the archive includes”Report content lists four switches, all on by default:
- PDF Report
- HTML Report
- All PDF source plans
- All photos, with its Photo quality (Small, High or Highest: a trade-off between quality and file size).
All photos stays on while HTML Report is on, because the HTML report displays its photos from that folder.
Filter the report contents
Section titled “Filter the report contents”Open Filters to narrow the report down. The criteria stack:
- Plans: keep only some plans. The General Observations entry covers the observations that are not on any plan.
- Activity: keep only one or several days.
- Creator: isolate one contributor’s work.
- Media Type: keep only photos, videos or audio.
- Color: deliver a single category if you use colors as a code.
While a filter is active, the summary shows what is kept (for example “Plans: 2/5 · Observations: 12/37 · Photos: 48/210”), and the active filter is surfaced on the report cover so your recipient knows what they’re looking at. Clear All returns to the full project.
When the report would be empty
Section titled “When the report would be empty”If the report would have nothing in it, a warning appears in the sheet:
- “The current filter excludes everything in this project. The report will have no content.” Widen or clear the filters.
- “This project has no plans and nothing recorded yet. The report will have no content.” Add a plan or an observation first.
The warning does not block you: you can still create the report. On the free plan, an empty report still counts as one of your 3 reports.
What the report looks like
Section titled “What the report looks like”- Observations follow the report order: general observations first, then one section per plan.
- A photo is never cut in half at a page break. A long observation continues on a new card marked “(continued)”.
- Each observation’s card sizes to its content: one photo, two side by side, or three and more in rows of three. A comment with no photo takes the full width.
- An observation with no photo and no comment takes a single compact row, “No media and no comment”.
- A photo or video that could not be included is shown as a dashed “Media unavailable” tile instead of silently disappearing.
- An empty report says “This report contains no observations.” on its cover.
- On iOS 27, pins in the exported PDF no longer get a black ring.
Share online
Section titled “Share online”Instead of sending the file directly, you can create a password-protected share link:
- In the Create Report sheet, tap Share a link.
- Set a password (6 characters minimum): type one yourself or tap Generate.
- Choose an expiration: 7, 30 or 90 days.
- Tap Create share link.
- Once the report is online, tap Copy link + password, or Share the link to send it straight away.
A unified progress bar walks you through each phase (generate, package, upload) until the link is ready.

Company profile on reports
Section titled “Company profile on reports”If you’ve set up a company profile, your company logo, name and address automatically appear on the PDF report cover page and in the HTML report header.
