Roles and permissions
Each member of a shared project has a role that determines what they can do.
The roles
Section titled “The roles”The owner is the person who created the project. They have full control:
- Edit the project name, notes and cover photo.
- Add, edit and delete plans.
- Create, edit and delete annotations.
- Take photos, record videos and audio comments.
- Export reports.
- Invite and remove members.
- Delete the project, and restore it or delete it permanently from Recently deleted.
There can only be one owner per project.
Member
Section titled “Member”A member is someone who joined the project via an invitation. They can:
- Create, edit and delete their own annotations.
- Take photos, record videos and audio comments.
- View all annotations and photos in the project (including those from other members).
- Restore or permanently delete anything deleted inside the project, from Project settings > Recently deleted.
- Export reports.
A member cannot:
- Edit the project settings (name, cover photo).
- Invite or remove other members.
- Delete the project, or restore it from Recently deleted. A member leaves the project instead.
Deleted items
Section titled “Deleted items”Deletes are reversible for 7 days, and who can bring something back depends on what was deleted:

In the iOS app, a member who is read-only on the project (for example when a Teams subscription has ended) sees the list but cannot restore or delete anything.
A permanent delete removes the item for everyone on the project. See Recently deleted on iOS, Android or the web dashboard.
Identifying roles
Section titled “Identifying roles”In the project’s collaborators list, each member is shown with a badge indicating their role: Owner or Member.
