Annotations

Annotations are numbered markers that you place on a plan. Each annotation can contain photos, videos and audio comments. They form the core of your site documentation.

In Visit or Catch-up mode:

  1. Tap the plan where you see something to document.
  2. A numbered marker appears. Drag your finger around the marker to orient the direction triangle: it shows which direction you’re looking from (where the photo will be taken).
  3. The camera (Visit mode) or photo library (Catch-up mode) opens to attach a photo.

Annotations are automatically numbered in creation order (1, 2, 3…). Once the annotation is saved, its marker briefly pulses with a green ring to confirm it.

The plan toolbar, at the top right, carries four buttons: +, the list, the filter and the plan settings. The + (Add a viewpoint) starts a new annotation from any mode:

  • In Visit or Catch-up mode, it shows the hint to tap the plan where the viewpoint belongs.
  • In Read-only mode, it first asks which mode to use: Visit (tap the plan, then take photos with the camera) or Catch-up (tap the plan, then pick photos you already took). The plan switches to that mode, ready for your tap.

The + is hidden on a project you can only view.

The list button in the plan toolbar opens the Observations list limited to this plan, with the filter you had on the drawing. It is handy to reach viewpoint 34 without hunting for pin 34 on the drawing.

Each annotation has the same shape: a circle containing the number, with a triangle attached that shows the observation direction. This triangle lets anyone see at a glance from which angle the observation was made.

15 built-in colors are available: Orange, Green, Blue, Brown, Violet, Red, Yellow, Gray, Black, White, Teal, Cyan, Mint, Pink and Indigo.

Color follows a hierarchy. Each annotation uses its plan’s default color, which itself inherits from the project’s default color. You can override the color at each level:

  • Per annotation: open the annotation’s detail panel and choose a color, or “Plan default color” to revert to inheritance.
  • Per plan: in the plan settings, set the color applied by default to new annotations, or “Project default” to inherit.
  • Per project: see Custom colors below.

Pro and Teams subscribers can go beyond the 15 built-in colors and create a custom color palette specific to each project. Open Project settings → Colors (PRO badge). The screen groups three sections:

  1. Default color: the color applied to new annotations and general observations, unless overridden by a plan or annotation.
  2. Custom colors: add up to 24 colors using the picker (color wheel) and give them a name. Tap an existing color to rename or delete it.
  3. Default colors: rename one of the 15 built-in colors for this project, or hide it from color pickers.

You can then filter annotations by color in the plan viewer, including custom colors. All colors are faithfully rendered in exported reports (PDF, HTML).

5 marker sizes: XS, S, M, L and XL. Choose a size that fits your plan’s scale.

Press and hold a marker for about half a second to open its menu. The menu is titled with the viewpoint’s number (for example Viewpoint 3), with its comment underneath when it has one. It offers:

  • Open: opens the annotation’s detail panel, like a tap.
  • Move: moves the marker to another place on the plan (see below).
  • Orientation: re-aims the direction triangle without moving the marker.
  • Color: changes the marker’s color.
  • Add a new photo: opens the camera (on devices with a camera).
  • Choose from Library: adds photos from your photo library.
  • Comment: opens a small editor over the plan to add or edit the comment, without leaving the plan.
  • Add an audio comment: records an audio comment.
  • Delete: deletes the annotation (see Delete an annotation).

On a project you can only view, the menu offers Open alone.

The first time you open a plan, a short tip reminds you of this gesture: press and hold a viewpoint for everything you can do to it, press and hold the drawing for the plan’s own settings (see Plans).

  1. Press and hold the marker, then choose Move.
  2. A banner reads “Drag Viewpoint 3 to its new place”. Drag the marker to its new position.
  3. Release to confirm. Tap Cancel in the banner to leave the marker where it was.

Move works in every mode, including Read-only: you can fix a misplaced marker while reviewing a plan, without any risk of creating a new annotation.

Choose Orientation in the menu. A banner reads “Drag to aim Viewpoint 3”: drag your finger around the marker to point the triangle in the right direction. The marker stays where it is.

Tap an existing annotation to open its detail panel. From this panel, you can:

  • View or add photos and videos.
  • Listen to or record audio comments.
  • Change the marker’s color and size.

The actions are grouped to stay readable: an Add menu gathers the ways to attach a photo (take a photo, choose from the library, add an existing photo), while an options menu groups the other actions (rotate, pin to plan, delete).

On iPhone, this panel stays open below the photo instead of closing behind a button. Drag it up to reveal comments, status and details, drag it down to see the photo full size: it re-fits and re-centers at each position. The comment, description, audio and status come first; color, numbering, location and authorship are grouped at the end of the panel. The iPad side panel is unchanged.

You can delete an annotation in two ways:

  • Press and hold its marker on the plan, then choose Delete.
  • Open its detail panel by tapping it, then choose Delete this viewpoint in the options menu.

The confirmation says what goes with it, for example “This also deletes 4 photos and 1 audio note.” Deletion takes all attached photos, videos and audio comments with it.

Deleting is not final:

  • For a few seconds, a Viewpoint deleted bar offers Undo.
  • After that, the annotation stays in Project settings > Recently deleted for 7 days. Anyone who can edit the project can restore it from there, whoever deleted it. It comes back with its original number and all its photos.

After 7 days, it is removed for good. See Settings for the app-wide Recently deleted list, which holds deleted projects.

If you’ve deleted annotations and the numbering is no longer continuous (e.g., 1, 2, 5, 8), you can reset the numbers to get a clean sequence (1, 2, 3, 4). Choose Reorder annotation numbers in the plan settings menu.
